## The challenge

When award-winning architects Scott Brownrigg asked us to build a system to keep track of their interactions with clients, partners and prospects we were confident we could deliver usable and robust software that met their brief.

When the brief was expanded to include event and guest list management, bid tracking, aggregation of project media and the assignment of project numbers, we knew we had something to really get our teeth into...

## The solution

The intranet-based web application presents an easy-to-use interface to access and contribute information about projects, individual contacts, companies and events.

New projects are created and assigned project numbers (a very big deal for companies in construction) via a simple web form, which then integrates with Windows scripts to set up server resources and Newforma to set up project management. The project setup process, which used to take days and involve multiple manual interventions, now takes a matter of minutes.

New contacts are added, assigned roles with companies and projects, and automatically integrated with accounting systems (Iris PROJECTminder) and project management software (Newforma).

The ability to record quick and easy Twitter-style messages and associate them with contacts means a full history of interactions is built up without the hassle of filling in lots of forms.

When staff are out of the office, they can use the simplified mobile interface to quickly record interactions with Clients and partners.

## The outcome

The SPiDER web application (named via a company-wide competition) now sits at the heart of the business and manages the entire lifecycle of project, contact and event records within the firm.

- Overview of latest activity: A home feed gives an overview of the latest notes, meetings and events logged across the business.
- Project details and associated media: Project records store statistics, financial details and photographs alongside a full list of the team involved.
- Search entire contacts database: The entire contacts database can be searched and filtered by criteria such as sector, location and job title.
- Full timeline of Contact's history: Each contact's page takes notes, tasks and guest-list additions, and keeps every note in a dated history beside their details and company.
- Extensive Company details: Company records bring together address details, sector and grade, linked contacts, projects and interaction history.
- Keeping track of guests: Guest lists track invitations sent, responses received and attendance for each event.
- Granular administration privileges: Administrators can grant granular privileges to individual staff members for different areas of the system.
- Easy merging of duplicate records: Duplicate contact records can be compared field by field and merged into one, keeping the chosen details.
- Assigning project numbers, linking with other software: The project queue logs each project added or changed, and ticks off each step: written to SPiDER, emails sent, DFS and Newforma set up.
